Project Administrator (Design Assistant) Position
Actalent Services is a fast-growing engineering consulting group which expanded to Canada in 2014. A significant part of that growth has come out of our Western Canadian Operations focused on Infrastructure and Utilities projects. To support this growth, we have opened a full-time position for a Project Administrator (Design Assistant) to join our team on a full-time basis. The selected individual will be a part of our Utilities Division based out of New Westminster, BC.
This is the ideal role for somebody to gain professional experience in a project environment. Our Engineering Consulting Operation supports BC Hydro projects through a secure contract.
This role provides administrative support to the design team and performs the clerical aspects of design to advance project objectives. Although this is an administrative role, it will be involved in areas of light technical work and training will be provided to the selected hire for this role. Therefore, it requires someone with the ability to grasp basic technical concepts, excellent skills in Microsoft Word and Excel, and are results driven and analytical thinkers.
The selected individual will join our rapidly growing team delivering projects to a variety of utility clients with a focus on electrical utility infrastructure. We are looking for people that take ownership, are career motivated, well organized and detail oriented with a proven ability to meet deadlines.
Successfully passing Drug & Alcohol Screening is a requirement for this role.
This role will be under our Hybrid Model, 3 days in office, 2 from home. There is also an option to work 5 days from the office.
Job Requirements
- Degree or Diploma, with preference to Business, Engineering, Architecture or other Sciences specialization
- 0+ years of experience
- Must have excellent Outlook, Microsoft Word, Excel skills
- Excellent oral and written communication skills

- Administration experience in a professional environment
- Any experience with CAD or GIS programs
- Experience with SAPS
- Experience in the utility sector
- Experience in an engineering consulting environment
Job Responsibilities
- Coordinate work with clients, First Nations, Municipalities, Environmental, Archaeology/Heritage, Properties groups, and telecom companies
- Assist communications with clients and other entities with the support of the design team; this may require familiarity with clients' systems; examples include: Submit information to Municipalities/MoTI for approval, Submit design to clients for approval and notify design team of the review results, Submit design packages using clients' systems
- Compile and submit work order packages per client specifications
- Seek out and determine procedures for submitting document to various stakeholders
- Assist with coordination of the project team; when required, work with Project Lead/Manager to communicate project information to the execution team
- Initiate BC One and Dig Shaw calls to support collection of design information and file responses received.
- Following the design leads' instructions, organize design requirements including design drawings, photos, specifications, permits, BC One call etc. This may include compiling client requirements, annotate documents using Bluebeam or other suitable tools, and provide information to Designers.
- Prepare job planning files, including all related documents needed for design or field visits.
- Assist in creation and maintenance of project documents which may include letters, memos, reports, proposals, and spreadsheet
- Perform data entry to support project delivery; this may require familiarity with clients' systems.
- Organize and maintain project information which could include RFI's, site instructions and field review reports/memos following appropriate filing structures
- Support Project Manager by collecting design package status information either from the design team or client review team
- Support project document control need
- Provide advice to management or project team by researching, developing, presenting options, and taking appropriate action to solve basic technical issues and more complex administrative issues
- Work with various client specific software and interfaces to extract or submit information
- Support other admin activities required by the project and office management team
Pay and Benefits
The pay range for this position is $50000.00 - $56000.00/yr.
