Marketing & Sales/Congress Coordinator

In the build-up to the upcoming launch, Apellis is seeking a passionate, enthusiastic, and talented individual for the role of Marketing & Sales/Congress Coordinator to support the cross-functional commercial German team. Reporting to the Brand Lead, Germany, this is a critical role supporting the commercial cross functional German team in crucial pre-marketing and launch initiatives.
Key responsibilities include:
- Commercial team support incl. pre-launch activities
- Support of marketing, sales and market access team in preparation of all commercial relevant tasks, for example the development, production and distribution of marketing materials, organization of external and internal marketing and sales events. Manage efficiently external vendors: e.g., event, communication, and creative agencies.
- Monitor external customer activities and fulfill all requirements of tracking and recording events in line with compliance rules
- Provide administrative support for the commercial leadership team Germany such as organization of internal marketing, sales and market access meetings & trainings.
- Support the cross functional teams in delivering local educational events by preparing required legal contracts, ensuring timely vendor, invoice and payment management in the respective financial systems and arranging logistics for sponsored speakers
- Support Apellis' presence on national and international congresses
- Responsible for overall commercial budget administration, supporting commercial team in managing operational spend (monthly accruals, budget tracking)
- Support marketing team with Veeva Promomats jobs ensuring timely reviews / approvals of promotional items
- Participate in administrative and financial workflow for offers, orders and invoices with respect to marketing and sales activities
- Handle general vendor and payment process for all external vendors – handle, review and approve invoices, create necessary forms, ensure adherence to SOPs
- Closely collaborate and pro-actively communicate within the assistant group to manage tasks and processes across departments
Education/Degree in business or marketing
Minimum 2-3 years of experience as marketing and/or sales assistant or comparable role preferably in the pharmaceutical industry
Skills, knowledge & abilities:
- Excellent written and oral communication skills in German & English, French would be a plus
- Excellent computer skills (Excel, PowerPoint, Word, SAP)
- Able to handle multiple and changing priorities and deadlines
- Experience in project and process management
- Flexibility and ability to adapt to changing conditions
- High degree of accuracy and attention to detail
- Sense of ethics and responsibility
- Highly motivated and proactive
Willingness and ability to occasionally travel
