The Digital Marketing Specialist โ Virtual Experiences responsible for the end-to-end planning and execution of online webinars and virtual events as part of the company's internal Marketing Center of Excellence (CoE). They will manage a global calendar of virtual events to ensure effective scheduling and resource allocation across regions and time zones.
What You'll Be Doing:
- Orchestrate all facets of live webinars and virtual events, from initial planning to post-event reporting. This includes setting up events on the chosen virtual platform (e.g. Microsoft Teams Live, ON24, GoToWebinar, etc.), configuring registration pages and email invitations, and managing the live broadcast. The specialist ensures a smooth attendee experience by handling audio/visual setup, slide management, recording, and live Q&A moderation as needed.
- Oversee the event invitation process โ coordinating with marketing strategists or product teams to build targeted invite lists (using marketing automation or CRM data for audience segmentation). They create and send out save-the-date communications and reminders to maximize attendance, and monitor registrations in real-time. This includes managing any prerequisites like registration forms, confirmations, calendar holds, and event reminders to ensure participants have all necessary information.
- Serve as the go-to expert for internal and external speakers/presenters in preparing for the virtual event. The specialist will train speakers on using the virtual event platform (e.g., how to share screens, use interactive features like polls or Q&A) and conduct dry-run rehearsals to iron out any technical or content issues before the live event.
- Act as the resident virtual events platform administrator. This involves maintaining platform availability and access for users, setting up event templates, troubleshooting technical issues, and liaising with IT or the platform vendor if advanced support is needed. The specialist constantly looks for ways to enhance the virtual event experience โ for example, integrating new features (like live polling, Q&A chatbots, AI-driven captioning or translation services) to increase attendee engagement.
- When external production support is required โ such as professional video recording, streaming services, or specialized event production โ the Digital Marketing Specialist will source and manage external vendors. They will gather quotes, assess cost-effectiveness, and coordinate with selected agencies to ensure third-party deliverables (e.g. video editing, graphic design, event hosting services) meet the company's standards and timelines. Strong vendor management and budgeting skills are needed, as the specialist must ensure that any outsourced event services stay within the allocated budget and that MDF (Market Development Funds) or other budget sources are utilized fully and compliantly (with no risk of funds expiring unused).
- Manage a global events calendar in partnership with regional marketing teams to balance event scheduling across different theaters (Americas, EMEA, APAC). This involves planning events well in advance, avoiding overlaps or audience fatigue, and adjusting timing to accommodate multiple time zones. The specialist will frequently coordinate with colleagues and stakeholders around the world, making strong communication skills (and proficiency in English) essential.
- Following each webinar or virtual event, the specialist compiles an event report detailing key metrics and outcomes. This includes registration vs. attendance numbers, audience engagement statistics (poll responses, Q&A activity), and post-event feedback surveys. They also track attribution of leads or pipeline generated from the event โ working with the marketing analytics team to integrate webinar attendees into the lead management system and monitor conversion down the funnel. By providing stakeholders (and any sponsoring vendors) with timely reports โ including ROI and attribution metrics like number of leads, MQLs, and influenced opportunities โ the specialist helps demonstrate the business impact of each virtual event.
What We Are Looking For:
- Deep knowledge of ON24, Microsoft Teams Live, GoToWebinar, or Zoom Events.
- Proficiency in Marketo, HubSpot, or Oracle Eloqua for audience segmentation and email triggers.
- Experience with Salesforce or Microsoft Dynamics to track lead attribution and MQLs (Marketing Qualified Leads).
- Skills in managing invitation lists and ensuring GDPR/Data Privacy compliance when handling attendee information.
- Basic video editing (trimming recordings) and graphic design (adjusting slide aspect ratios or creating simple banners).
- Familiarity with AI-driven tools like auto-captioning, live translation services, and interactive chatbots.
- Understanding how to calculate ROI, cost-per-lead, and conversion rates from registration to attendance.
- Vendor Management: Negotiating quotes and managing deliverables from external production agencies.
- Proficiency in managing a global calendarโknowing when an event works for EMEA vs. APAC without causing "audience fatigue."
- Following a strict QA (Quality Assurance) process. Every link must be tested, every calendar invite must have the right link, and every "Save the Date" must go out on time.
- Understanding how to use Market Development Funds compliantly, ensuring budget is spent before it expires, and documenting ROI for sponsoring vendors.

Annual Hiring Range/Hourly Rate: $31,575.00 - $41,525.00 MXN Monthly
Actual compensation offer to candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level. The pay ratio between base pay and target incentive (if applicable) will be finalized at offer.
