Marketing Project Coordinator

We're seeking a highly organized and proactive Marketing Project Coordinator to be the operational backbone of our marketing team. What You Will Work On

Project Management & Operations

  • Support department-wide efficiencies through streamlined processes and innovative workflow solutions.
  • Support processes, including quarterly strategic planning, sprint management, and continuous improvement initiatives.
  • Facilitate project kick-off meetings, status updates, and retrospectives to ensure seamless execution and knowledge sharing.
  • Manage various projects as needed, serving as a reliable point person for cross-functional initiatives.

Event Support & Execution

  • Support comprehensive event planning and execution for trade shows, webinars, and marketing events.
  • Coordinate setup and breakdown for both in-person and virtual events, ensuring flawless execution and brand representation.
  • Manage marketing and events calendars, and timeline coordination across multiple initiatives.
  • Facilitate event kick-off meetings, status updates, and post-event wrap-up meetings to ensure seamless execution, cross-functional alignment, and knowledge sharing.
  • Schedule and facilitate meetings with internal teams and external vendors to ensure alignment and successful outcomes.
  • Manage various projects as needed.

Budget & Vendor Management

  • Collaborate with leadership and finance to manage budgets.
  • Work with budget owners to track actual spending and identify optimization opportunities.
  • Process invoices and handle vendor and accounting processes including purchase orders and payments.
  • Assist with managing vendor relationships and external contractor coordination to maximize value and performance.

Support & Analysis

  • Support marketing projects and communications that drive business growth and team alignment.
  • Support the marketing team with research, data collection, and competitive analysis to inform strategic decisions.
  • Implement process improvements to help drive business and company-wide success.

Qualifications

Experience

  • 3+ years of project management or marketing operations experience, preferably in B2B or healthcare environments.
  • Proven track record of managing multiple projects simultaneously while maintaining high attention to detail.
  • Experience with event planning and execution, including both virtual and in-person events.
  • Demonstrated ability to work with budgets, vendor management, and financial processes.

Project Management & Organization

  • Strong project management skills with experience in agile methodologies and sprint planning.
  • Exceptional organizational abilities with a talent for creating efficient workflows and processes.
  • Experience facilitating meetings and managing stakeholder communications across various organizational levels.

Technical Proficiency

  • Proficient in project management tools such as ClickUp, Asana, Monday.com, or equivalent platforms.
  • Experience with budget tracking and financial management software.
  • Comfortable with CRM systems, marketing automation platforms, and file management systems.
  • Advanced proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
  • Demonstrated experience in AI implementation or strong comfort level with artificial intelligence tools and technologies.

Communication & Collaboration

  • Excellent written and verbal communication skills with the ability to interface with all organizational levels.
  • Strong interpersonal skills for managing vendor relationships and cross-functional team collaboration.
  • Ability to translate complex project requirements into actionable plans and clear timelines.

Education

  • Bachelor's degree in Marketing, Business Administration, Communications, or related field preferred.

Physical Requirements

  • 80% remote work.
  • Up to 20% travel as needed for business requirements.

  • Competitive compensation, with a base salary of $60,000 - $70,000 (Exact compensation may vary based on skills and experience)
