The Marketing Coordinator plays a dual role supporting both proposal development and regional marketing and communications efforts. With a foundation in storytelling, organization, creativity, and visual communication, this individual will help produce high-quality proposals, manage marketing data and systems, assist in campaigns and other marketing outlets, and contribute to event coordination. This position offers broad exposure to both sides of the Project Development team and is ideal for someone interested in growing within or exploring the AEC industry.

Key Responsibilities:

  • Assist in the preparation of RFQs, RFPs, and interview presentations—editing resumes and project sheets, formatting content, and supporting layout and visuals.
  • Use InDesign to help lay out proposals and presentations; develop graphics and infographics using Illustrator and Photoshop.
  • Learn how to develop compelling proposal content, including project narratives and case studies.
  • Assist in accurately completing required proposal forms in compliance with RFP instructions.
  • Support proposal logistics including scheduling, A/V coordination, presentation rehearsals, material prep, etc.

Data Collection & Management

  • Assist in collecting and organizing marketing content such as bios, project descriptions, and photography.
  • Help maintain records and manage content in systems such as DASH, Bynder, and CRM tools.
  • Support proposal and marketing content development by gathering relevant data from operations, project teams, and marketing archives.

Brand & Identity Stewardship

  • Support the consistent use of brand standards across marketing materials and proposal deliverables.
  • Assist in the development of on-brand graphics, displays, and collateral in collaboration with the broader project development team.

Employee Engagement

  • Assist with the execution of internal campaigns and communications that recognize employee achievements or support regional culture.
  • Help implement enterprise initiatives (e.g., Safety Week, Construction Inclusion Week) with a regional lens.
  • Support jobsite communications requests and celebratory campaigns when needed.

Marketing & Communications – External

  • Support the development of social media content, including scheduling posts and repurposing proposal or project materials for digital platforms.
  • Assist in preparing award submissions, event recaps, and project updates.
  • Participate in campaign planning sessions and contribute to ideation, research, and content curation.
  • Support basic video editing and visual storytelling efforts for use in both internal and external communications.

Regional Events

  • Assist with event logistics and material preparation for recruiting fairs, client appreciation events, and industry conferences.
  • Contribute to event collateral development and execution.
  • Support implementation of regional internal campaigns and enterprise initiatives (e.g., Safety Week, Construction Inclusion Week).

Position Qualifications:

  • Bachelor's degree in marketing or relevant field of study
  • 1-3 years of marketing and/or proposal experience and/or a combination of education and experience
  • Demonstrated competency in Adobe Creative Cloud (InDesign, Illustrator, Photoshop, Premier Pro) with strong graphic design, layout capabilities, and potentially experience in video editing
  • Microsoft Office Suite Competency (Word, PowerPoint, Excel, and Outlook)
  • Highly organized and effective task management skills
  • Strong accuracy and attention to detail
  • Ability to effectively communicate with teams
  • Ability to manage multiple projects/deadlines and accommodate shifting priorities
  • Experience conducting research and applying analytical skills

Compensation Range (Southern California Only)

  • Salary Range: $59,280.00 - $65,520.00
  • Anticipated Cost of Living Adjustment: $19,200.00 (COLA)
  • Total Compensation Range: $78,480.00 - $84,720.00 (Salary + COLA)

Benefits

This position is eligible for company-paid medical insurance, life insurance, accidental death & dismemberment, long-term disability, 401(K) retirement plan, health savings account (HSA) (except in Hawaii), and our employee assistance program (EAP). It also is eligible for employee-paid enrollment in vision and dental insurance. Hensel Phelps also believes in the importance of taking time to recharge. As a result, salaried employees are eligible for paid time off beginning upon hire. Salaried positions (project engineers and above) participate in an annual bonus plan, subject to company and employee performance. Salaried employees are also eligible for a company cell phone or cell phone allowance in accordance with company policy. Further, salaried employees also receive either a vehicle or vehicle allowance in accordance with Hensel Phelps' policies. Based on position location, a cost of living adjustment (COLA) may also be included (subject to periodic review and adjustment).
