Employee Onboarding, HR, & Performance Management
Assist with onboarding new hires including access to systems, device distribution, and field training support.
Ensure HR compliance by maintaining updated records for memos, MPS reviews, corrective actions, and employee files.
Update and manage email distribution lists for all terminations, new hires, and changes.
Submit MPS reviews to HR, and help facilitate corrective action documentation as needed.
Coordinate name tag orders and credit card applications for new managers.
Marketing & Sales Operations Support
Partner with Marketing leadership to align deadlines and support site operations in accordance with budgetary and business goals.
Serve as the primary liaison for all communication between mainland marketing sites and cross-functional departments (e.g., Branding & Creative, Mobility, IT, Legal, HR, TA, Direct Marketing, Sales, Customer Care).
Oversee the setup and launch of new site locations, including system access (Salesforce, VOICE, email), hardware/software installation, key code configurations, and activation testing for package offers.
Coordinate business needs for marketing sites including phone and computer setup, collateral orders, and device inventory management.
Manage hotel partnerships by tracking contracts, renewals, proposals, and memos; ensure legal and accounting receive required documents and fees are processed timely.
Actively works with The Lobby platform to confirm current up to date hotel information
Act as a public relations liaison between customers, hotel staff, and the marketing team to enhance the on-site experience.
Supports interdepartmental processes of submitting Hilton Honors points to guests for new email campaigns and customer satisfaction.
Supports in the ordering and shipping of supplies to all Package Sales markets.
Monitors & tracks active email distributions and provides updates as needed.
Ensures that Directors, HR, Business Management and Payroll has updated team Roster.
Adhere to the cultural and service agreements.
Carry out all other reasonable requests by management of which the associate is capable of performing.
Payroll, Finance & Expense Management
Track all missed punches, process off-cycle checks, and ensure timely payroll submissions.
Update payroll batch spreadsheets for split shifts for the California market.
Administer overtime reports to assist managers in schedule adjustments and compliance.
Coordinate travel, logistics, hotel, and transportation reservations for team members and leadership as needed.
Ensure invoices and expenses are submitted to Business Management on schedule for processing.
Order and manage quarterly and annual award distribution for team recognition programs.
Maintain and update all department Policies & Procedures Manuals, including payroll schedules.
Ensure memos and policy acknowledgments are signed, distributed, and properly filed with HR.
Support consistent and compliant department procedures across all marketing sites.
Submit Credit Card applications for all new managers as needed.
Respond to internal and external communication (calls, emails) with urgency and professionalism.
Provides clear communication from field to corporate to call center as it pertains to facilitating customer experience with HGV.
Collaborate with Directors of Marketing and corporate stakeholders to support evolving business needs.
Demonstrated experience with Microsoft Word and Microsoft Office systems.
Salesforce, VOICE, and experience
Demonstrated experience with composing internal and external correspondence with excellent spelling, grammatical, and formatting skills.
Ability to perform basic math calculations (i.e. addition, subtractions, division, percentages, proration, etc.)
Excellent interpersonal communication skills essential.
Flexibility in work schedule and ability to handle multiple tasks necessary.
Must be accurate and detail oriented.

Must be able to meet and deal with people from all walks of life with ease and diplomacy.
