Medicare Marketing Materials Manager

This role will manage functions coordinating with marketing fulfillment and document management in Scott & White Health Plan areas. It includes leading the creation of regulated Medicare marketing materials. It also involves monitoring partner departments and business partners/vendors to ensure accuracy, production, and regulatory requirements are met.

Essential Functions of the Role:

• Manages the quality control process for regulated Medicare documents. This includes the Annual Notice of Change, Evidence of Coverage, and Summary of Benefits.
• Manages the function areas coordinating and overseeing fulfillment and document and image management operations. Manages fulfillment operations' adherence to regulations, performance guarantees, and internal schedules. Identifies and catalogs member, provider, and client communications, including required content and delivery deadlines.
• Helps and coordinates activities of external vendors by establishing procedures, queues, routing, and workflow rules. Ensures vendors receive accurate and current information about company products, networks, client groups, and policies.
• Monitors operations and performance of external vendors to ensure accuracy, production standards, and regulatory requirements are met. Reviews requirements, prepares bids, and manages the RFP process for potential outsourcing of in-house print and document or image management operations. Establishes next steps upon receipt of vendor responses. Reviews all pertinent vendors to create consistent Scorecards and initiate Quarterly Reviews.
• Maintains communication with all marketing or production teams to meet deadlines and perform quality checks. Helps the operational infrastructure by ensuring broker, consumer, group, member, and provider communications are produced and shared on time.
• Oversees print, bindery, imaging, and mail center functions. Manages Post Office relationships and centralized mailing groups. Acts as liaison between clients, vendors, and agency departments. Coordinates print and fulfillment projects. Accountable for proofing materials and obtaining approval before print production.
• Develops and maintains controls to ensure mail and documents meet performance standards. Ensures reporting within the center, including inventory reports, shipment recaps, and expenses, complies with budgets and policies. Implements a user-friendly document repository and retrieval system. Prepares and submits daily and monthly operational and production reports. Designs, tests, and deploys the Monthly Operations Dashboard.
• Develops and trains departmental staff by preparing training materials. Presents in-services to ensure employees have necessary job competencies. Meets performance and quality standards in current roles. Enhances future growth and potential. Motivates subordinates, establishes synergy, and builds employee morale.

• Experience - 5 Years of Experience
